Rental Operations Standards
Rental Operations KPI Dictionary
Twelve measures for running an equipment-rental operation as one connected system, from dated demand and Warehouse execution to custody, Crew, service and commercial close.
3 operating measures
Demand and inventory
Dated availability confidence
- Formula
- Requirements with verified supply ÷ all requirements due in the review window × 100
- Decision it supports
- Whether Sales and Operations can commit the current Production scope without unresolved supply risk.
- Evidence guardrail
- Count a requirement as verified only when quantity, dates, location, condition and competing demand have been checked.
External-supply exposure
- Formula
- Cost of sub-rented or externally sourced equipment ÷ equipment revenue × 100
- Decision it supports
- Where owned capacity, package design, pricing or supplier strategy needs review.
- Evidence guardrail
- Segment planned external supply from last-minute shortage recovery; they indicate different operating problems.
Asset utilization
- Formula
- Chargeable deployed asset-days ÷ serviceable available asset-days × 100
- Decision it supports
- Whether a category earns enough use to justify ownership, transfer or disposal.
- Evidence guardrail
- Do not include maintenance, quarantine or unavailable days in the denominator unless assessing total fleet productivity.
3 operating measures
Warehouse execution
First-pass preparation rate
- Formula
- Requirements passing pick and QC without rework ÷ requirements inspected × 100
- Decision it supports
- Where master data, storage, training, substitutions or preparation discipline is failing.
- Evidence guardrail
- Define the inspection unit consistently: serialized asset, line requirement or package, but never mix them.
Dispatch exception rate
- Formula
- Productions leaving with an unresolved quantity, identity, condition or documentation exception ÷ dispatched Productions × 100
- Decision it supports
- Whether dispatch pressure is overriding readiness controls.
- Evidence guardrail
- A signed waiver remains an exception; approval changes ownership, not operational fact.
Return reconciliation cycle time
- Formula
- Return-complete timestamp minus physical-return timestamp
- Decision it supports
- How quickly equipment becomes trustworthy for availability, billing and maintenance decisions.
- Evidence guardrail
- Stop the clock only when quantities, identities, condition, shortages and custody exceptions are reconciled.
2 operating measures
Movement and custody
On-time departure rate
- Formula
- Loads departing by controlled departure time ÷ planned departures × 100
- Decision it supports
- Whether readiness, loading, vehicle and crew dependencies converge on time.
- Evidence guardrail
- Record controlled departure time before execution; changing the plan after delay destroys the evidence.
Custody-gap rate
- Formula
- Equipment hand-offs without named giver, receiver, time and evidence ÷ equipment hand-offs × 100
- Decision it supports
- Where loss, dispute and delayed exception discovery are most likely.
- Evidence guardrail
- GPS location is not custody evidence on its own; responsibility must be explicit.
2 operating measures
People and service
Crew confirmation coverage
- Formula
- Confirmed qualified assignments ÷ required role assignments × 100
- Decision it supports
- Whether a Production has credible people capacity rather than placeholder names.
- Evidence guardrail
- Availability is not confirmation, and confirmation is not attendance; keep the states separate.
Production change absorption time
- Formula
- Time from approved change to every affected owner acknowledging an updated action
- Decision it supports
- How effectively the operation contains consequences after schedule, venue or scope changes.
- Evidence guardrail
- Measure from approval, not first discussion, and require acknowledgement from every materially affected function.
2 operating measures
Commercial control
Contribution after direct operating cost
- Formula
- Approved Production revenue minus equipment sourcing, Crew, transport and other attributable direct costs
- Decision it supports
- Whether the delivered scope created economic value before shared overhead.
- Evidence guardrail
- Use actual costs at close and show unresolved accruals; quoted margin is not delivered contribution.
Commercial close cycle time
- Formula
- Commercial-close timestamp minus operational-return timestamp
- Decision it supports
- How quickly actual delivery becomes complete, invoice-ready financial evidence.
- Evidence guardrail
- Close requires reconciled changes, losses, damages, supplier costs, Crew actuals, transport and customer billing.
Measurement operating rule
Run the metric like a control, not a dashboard decoration.
- Name the decision. Define what action changes when the measure moves.
- Fix the evidence boundary. Specify states, timestamps, exclusions and accountable owner.
- Segment before averaging. Compare branch, category, Production type and exception cause.
- Review the exceptions. Averages hide the operating event that needs ownership.
- Retire vanity measures. If nobody changes a decision, stop reporting the number.
Connect measurement to operating maturity.
Use the assessment to identify which control needs evidence before setting a performance target.
