Rental equipment becomes operationally missing when its expected custodian, location or hand-off cannot be proven-even if it has not been permanently lost.
Missing begins as an evidence gap
Items disappear from visibility when picking, packing, loading, venue receipt or return is recorded only as a general job status. Each movement must say what moved, from whom, to whom, where and when.
Pack against the approved requirement
A generic dispatch list misses revisions, substitutions and accessories. Picking and packing should derive from the current Production requirement, with container contents and exceptions visible before loading.
Custody changes at every hand-off
Warehouse release, vehicle loading, site receipt and technician issue are different custody events. A scan is useful only when it validates the expected item and action and records the responsible actor.
Partial returns must stay open
Marking the whole Production returned hides shortages. Reconcile expected versus actual by asset, quantity, package and condition; keep missing items open with an owner and last known custody.
